Trader Terms & Conditions

By paying for and attending a Worker Bee Market, you are confirming you agree with our terms and conditions.

Payments

  • Payment terms will be on the Payment Request email and all markets need to be paid for in advance, by the date specified.
  • Failure to pay on time may result in your booking being cancelled
  • Repeated failure to pay on time may result in the cancellation of future bookings
  • We are unable to take any cash payments.
  • Deposits paid are non-refundable
  • Payments are only refundable if the organiser can find a suitable replacement

Before the event and on the day

Prior to the event you will be sent set up instructions and layout. This will include loading and unloading, car parking etc.

  • You must follow these instructions. Failure to turn up at the correct time or to park as instructed may result in cancellation of future bookings.
  • The layout is decided a week before each event to create an experience for whole market as well as your stall. It is unlikely I can change this layout.
  • You must not change your position without discussion. If you have specific needs, you must let me know more than a week in advance of the market.
  • When setting up, packing down, loading and unloading, care should be taken for your own safety and the safety of others.
  • You must ensure your stall is set up safely. Tables should be sturdy, display should be weighted and nothing should block walkways or be dangerous to customers.
  • Stallholders must operate strictly within the boundaries of the stall whether that’s your own 3mx3m gazebo or 2m x 2m gazebo, 3m x 1.5m if you’re sharing a stall or as specified if you’re undercover. Any tables and other display stands must fit within the allocated space. Please be considerate to your market neighbours.
  • The presentation of stalls should be professional.
  • We expect all traders to stay for the duration of the event. If traders sell out you may leave a note on the table but may not take down your stall until the end of the market, for health and safety of customers and other traders.
  • You must take away your own trade waste and ensure the stall area is left clean and tidy.
  • Stallholders supplying infrastructure must ensure that it is fit for purpose and weighted appropriately. Weights should be heavy and professional. Gazebos must be undamaged, waterproof and the size you stated in your application. Failure to comply may result in you being asked to leave the event.
  • If you’ve agreed to share your gazebo, you must make sure the maker sharing with you has half the gazebo space.

Lateness and Not Turning Up or Leaving Early

  • If you find you are going to be late for a market, you agree to let me know by phone as soon as you can.
  • If you are continually late, I may have to consider cancelling future bookings.
  • If you find, on the day before or on the day of the market, that you cannot attend, it’s your responsibility to let me know by phone.
  • If you fail to let me know you can’t make it, without a really good reason, I will cancel future bookings.
  • Traders are expected to stay until the end of every event. if you need to leave an event early, you must discuss it with me before leaving. Leaving early will only be acceptable under exceptional circumstances and continued early departure or packing up your stall before the end of events could lead to cancellation of future bookings.

Cancellations

  • If we decide to cancel an event, due to weather or any other issues, Worker Bee Markets will refund 50% of stall fees. The other 50% will be used to cover marketing and admin costs.
  • If we have to cancel, we will give you as much notice as we can and promote the cancellation through our marketing channels
  • If you cancel a booking before paying your stall fee, you agree to give as much notice as possible. If you cancel a few events at short notice, I may have to consider cancelling future bookings.
  • If you find you have to cancel a booking after paying your stall fee, I will do my best to find a replacement to take your pitch. If I can, I will refund your stall fee.


Respect

  • Any unacceptable behaviour including aggression, abusive language or refusal to comply with a reasonable direction will not be tolerated towards staff, customers or other traders. Such a breach is likely to result in that stallholder being asked to leave the event immediately and future bookings being cancelled.
  • Issues you have with the market or its organisation should be brought direct to me in a calm and open way, either during or after the event. Aggressive behaviour or moaning to other traders will lead to cancellation of future events and, in the extreme, you’ll be asked to leave immediately.
  • Issues regarding copyright and issues direct with customers regarding products and payments must be dealt with between the trader and the customer. I expect traders to treat customers with respect and to deal with issues professionally.
  • I’m not your boss. It’s your responsibility to run your business with respect and understanding to all. I do, however, expect traders to provide exemplary customer service as your conduct reflects on my markets as well as on all the other traders at the event.

Paperwork and Indemnity

All Traders

  • By attending, you are agreeing to Worker Bee Markets against any claims against your products and infrastructure.
  • You need a minimum of £1 million public liability insurance to trade at Worker Bee Markets and it is your responsibility to keep this up to date. You must make sure I have a copy too.
  • You need to consider the risks of trading at our events and plan a risk assessment. Plan out what you have to do to keep yourself and our visitors safe. Thinking of trip hazards, sharp objects, health and hygiene hazards, infrastructure hazards (especially when you provide your own gazebo, weights etc).
  • It is your responsibility to ensure your products conform to the accepted legal framework and legislation for general consumer sales in the UK. See below for some examples and check with the relevant authorities.
  • If you have any issues with or at a Worker Bee Market, please speak direct to me and I’ll do my best to resolve any problems. If you have any issues between markets, please do get in touch through email or phone.
  • You need to have copies of all relevant paperwork with you at every event

All Products

  • Products should be handmade and artisan (preferably by the person who is selling them), not bought wholesale.
  • You should only sell products you have listed on your application form. If you wish to add to your product list, you need to seek permission in advance of an event, in order to help maintain product crossover issues.
  • Labelling of products must be factual, legal and correct.
  • I reserve the right to bring in other professionals to test products and research whether they are handmade

Food Traders

  • All of the above plus the following
  • Food traders have a responsibility to keep unwrapped food covered, to have hand-wash facilities (if handling unwrapped food) and to keep your stall clean
  • Each food based business needs to register with their local council and request an inspection from an environmental health officer.
  • It is your responsibility to ensure all your accreditation, training and certification is up to date.
  • Sneeze Guards MUST be in place on your stall, covering all uncovered food items.

  • There is no power provided at any of our markets. If you need power, please discuss with me beforehand.
  • All gas appliances must have gas safety certification. Do not bring more than one gas bottle onto site.
  • Please bring relevant paperwork with you to each event

Cosmetics and skincare makers

  • ‘All Traders’ info above and the following
  • You must register every product that touches the skin with the correct authorities and ensure each is tested.

  • Please bring relevant paperwork with you to each event

Children’s Toy makers

  • ‘All Traders’ info above and the following
  • Every toy to be played with must have been tested and approved by the relevant authority.
  • Please bring relevant paperwork with you to each event

Alcohol Traders

  • You will need a Temporary Event Notice to trade at a Worker Bee Market. We do not automatically apply for one. Please discuss with me before applying.
  • You must have a personal licence to sell alcohol at Worker Bee Markets.
  • If the personal licence holder is unable to work the stall you must ensure you designate a competent number of staff who understands the responsibilities of your personal license.
  • You must display a challenge 25 sign on your stall.
  • Please bring relevant paperwork with you to each event

Exclusivity

  • Whilst every effort is made to avoid crossover of product, I cannot guarantee complete exclusivity.
  • You must let me know if you want to introduce new products onto your stall. I will only say no if it clashes with another trader or is considered very different from your original stall type.
  • Whilst I will do my best to ensure traders are given every market they want to attend, I cannot guarantee you will get them all.

Data Protection

  • By filling in the form and applying for Worker Bee Markets, you are agreeing we can keep your details on our records. This includes paper copies of the form and other paperwork as well as digital copies of your personal data, which I agree to keep safe and password protected.
  • You agree that we can share details, information and photos of you and your products on social media, our website, on print media and email comms.
  • You agree that we can share contact information with any customer or authority request, specific to your business.
  • If, at any time, you want to stop trading, you need to tell me and I will do my utmost to remove trace of your business and products from digital media and, when reprinted, from print media.
  • I will shred printed information
